What you get

  • Agenda agreed with the chair. Papers collated, paginated and circulated to the agreed timescale.
  • Attendance confirmed. Quorum checked before the meeting rather than discovered in it.
  • Read in beforehand. The professional arrives having read the papers, not cold.
  • Procedural support in the room. Delegation, remit, whether an item is properly before this meeting, confidentiality.
  • Interests handled. Declarations recorded against the relevant items, in line with your own procedure.
  • Decisions and the basis for them. What was decided and why, not a transcript of the discussion.
  • Actions with owners and dates. Captured as they are agreed, issued as a list afterwards.
  • Draft minute to the chair. Within 5 working days, ready for the next agenda.

What we clerk

Full governing boards, trust boards, local governing bodies and academy committees. Standing committees for resources and finance, curriculum and standards, pay, audit and risk, admissions and premises. Extraordinary and reconvened meetings, and members’ meetings where required. In person or online.

If we miss a date

That meeting is not charged. Applied automatically, with no claim to make. Availability for a named date comes back the same working day, yes or no.

Practical answers

How much notice do you need?

Send the date and you will have a yes or no the same working day. Standard meetings can be requested from 48 hours’ notice, subject to availability and to receiving the papers in time to prepare. If you know your dates for the year, sending them now is the most reliable way to secure cover.

In person or online?

Both. Short-notice meetings run online by default, because that is what makes short notice possible at all. Where the diary allows and the meeting warrants it, we attend in person. Confirm the format when you enquire.

Will we get minutes or notes?

A draft minute: decisions, the basis for them, and actions with owners and dates. Not a transcript. It goes to the chair within 5 working days.

What do you need from us?

The date, the meeting type, expected attendance and the papers. Papers at least 10 working days ahead so the pack can go out 7 clear days before. If the agenda is not settled, tell us what needs deciding and we will work from that.

Interim cover when the role is vacant rather than one date. Specialist panels for complaints, exclusions and employment hearings. Governance recovery when the records have fallen behind. Service levels for the commitments in full.

Your first meeting

Approve the draft minutes. Then we invoice.Start with one meeting. You see how the papers are prepared, how the chair is supported in the room, and the minutes that go on the record, and you approve them before anything is charged.

Need governance support?

Tell us what needs covering.

What has changed, your next important date, and anything that needs attention now. We will confirm availability and the right support.

Nothing is charged for the work until you have approved the draft minutes of your first meeting. After that, an agreed scope or a retainer. Standard meetings from 48 hours’ notice, subject to papers and availability.

Meeting, hearing or start date. Next twelve months, if known.
